Call routing for veterinary clinics: the right team on the first try

PupPilot routes each call by your hours, your departments and what the caller needs. PupPilot AI can answer first, or step in only when your front desk is busy, and a caller who asks for a person is transferred by the rules you set.

AI first, or AI on overflow

The clinic chooses. PupPilot AI can answer every call, or only the ones the front desk can't reach. How and when it answers is highly configurable: the choice can change by time of day and by location, and your team can turn PupPilot AI on or off during the day.

By hours

Business hours, urgent-care hours, after hours and holidays can each follow their own rules. The route changes with your hours, without anyone switching the phones over at closing time, and a caller who asks whether you're open is answered from your real hours, holidays included.

By department

Calls are assigned to a team or a person by the clinic's rules, with a default department for everything else. Each department has its own transfer destination, after-hours behavior and notification list, and PupPilot AI works out which department the caller needs during the call. In the veterinary shared inbox, your team can move a call to another department in one click.

By location

A group sets the rules for each site, including how and when PupPilot AI answers there. One login covers every location, with per-site settings, and the call log covers every line at every location. The phone system for multi-location veterinary groups page covers groups in full.

To a person

When a caller asks for a person, PupPilot AI transfers the call live by the clinic's rules, with the caller's name, the patient and the reason on screen before anyone picks up. Ring rules set who the call tries, in what order, for how long, and what happens if nobody picks up. Clients you name on a list always skip the AI and ring your team directly. Live call transfer shows how the handoff works.

Emergencies after hours

PupPilot AI follows your clinic's own protocols for triage and escalation. After hours, a caller with an emergency is passed to your on-call team or to the emergency hospitals you name, and each partner is handed the referral directly, on its own channel. The on-call roster sits on a weekly grid, with date exceptions for the weeks that don't look like the others, and answer screening keeps an automated pickup on the other end from swallowing the call. Emergency triage covers how urgency is assessed.

Built and previewed before it's live

Your routing is laid out in PupPilot's routing builder, number by number.

  • A front door for each number.
  • The reasons callers call, and where each one goes.
  • A preview of the whole route before it goes live.
  • A disaster route, for the day the internet goes down.
  • Health checks that catch a broken setup before a caller does.

Instead of a phone tree

“Press 1 for appointments”

  • The caller listens to a list of options before choosing one.
  • The caller guesses which number fits their reason for calling.
  • Closing times and holiday closures are a recording someone has to remember to update.
  • Whoever picks up asks for the name, the pet and the reason all over again.
  • Every caller hears the same menu, including the clients who always want a person.

PupPilot call routing

  • PupPilot AI asks what the caller needs, and the caller answers in their own words. Someone calling for an appointment can be booked during the call.
  • PupPilot AI works out which department the caller needs during the call.
  • “Are you open?” is answered from your real hours, holidays included.
  • A transfer arrives with the caller's name, the patient and the reason on screen.
  • Clients you name skip the AI and ring your team directly.

Questions clinics ask

Should the AI or the front desk answer first?

Your clinic decides. PupPilot AI can answer every call first, or step in only when your front desk is busy, and the choice can change by time of day and by location. Some clinics ring the desk first and use PupPilot AI after hours; others have it answer every call, or only the calls the desk can't reach.

How does a caller reach a person?

By asking. A caller who asks for a person is transferred live by the rules you set, with their name, the patient and the reason on screen before your team picks up. Ring rules decide who the call tries, in what order, for how long, and what happens if nobody picks up. Clients you name on a list skip the AI altogether and ring your team directly.

Can the rules change after hours and on holidays?

Yes. Business hours, urgent-care hours, after hours and holidays can each follow their own rules, and the route changes with your hours without anyone switching the phones over. A caller who asks whether you're open is answered from your real hours, holidays included.

How are after-hours emergencies handled?

PupPilot AI follows your clinic's own protocols for triage and escalation, and clinical judgment stays with your team. A caller with an emergency is passed to your on-call team or to the emergency hospitals you name, and your on-call roster decides who is on call. Emergency triage covers how urgency is assessed.

Can each location have its own routing?

Yes. A group sets the rules for each site, including how and when PupPilot AI answers there, and one login covers every location, with per-site settings. The phone system for multi-location veterinary groups page covers groups in full.

Do we still need a phone tree?

Not to sort callers. PupPilot AI asks what the caller needs and works out which department they need during the call, so nobody has to listen to a list of options first. If your clinic would rather keep a short menu, phone tree examples for veterinary clinics shows the trees we recommend, with scripts.
