PupPilot Phone System ports your existing clinic numbers — main line, after-hours line, fax DID, and any direct lines for individual doctors. Once ported, every inbound call hits PupPilot first. Chart-Aware From the First Ring

When the call connects, PupPilot already knows who's calling. Caller ID matches against the PIMS, the patient chart loads in real time, and the AI greets the client by name with the context of the last visit, the active prescriptions, and any standing protocols for that patient. Weave's call pop shows a name on screen. PupPilot does the conversation.

Common Questions About the PupPilot Phone System

When is the phone system available?

The phone system is in early access with a small group of design partner clinics in 2026. General availability is rolling out through the year — join the waitlist to get a slot. PupPilot Full Service customers will be prioritized.

Can I keep my existing phone numbers?

Yes. Number portability is included in the rollout. Bring your main clinic line, after-hours line, fax DID, and any per-doctor direct numbers. We handle the LOA paperwork with your current carrier and run the lines in parallel until the cutover.

How does this compare to Weave's phone system?

Weave bundles VoIP, texting, reviews, payments, and email marketing into a multi-industry platform. PupPilot bundles VoIP, AI call answering, chart-aware routing, voicemail-to-PIMS, and warm transfer into a veterinary-only stack. If you want loyalty programs and email marketing, Weave is broader. If you want every call answered by AI that actually reads your patient charts, PupPilot is deeper.

Do I need new desk phones or hardware?

No. The phone system is software — your team takes calls in PupPilot's web app on the same laptops they already use, plus optional desk-phone or softphone integration if you want a dial pad on a deskset. Most clinics drop their existing handsets entirely once they're live.

What about emergency calling, e911, and compliance?

E911 location registration is included for every ported line and every endpoint. Call recording is on by default with a configurable retention policy, and the call archive is searchable, transcribed, and audit-logged. We'll publish the full compliance brief at GA.

Is this an extra add-on cost?

No. The phone system is part of PupPilot Full Service at $125 per doctor per month. There's no per-seat license, no per-minute overage, and no separate carrier bill once your numbers are ported. The only third-party costs are inbound toll-free minutes (if you use a toll-free DID) at carrier pass-through rates.
