Veterinary reminder software for appointments, vaccines and heartworm tests
PupPilot sends the reminders your team doesn't have time to: the appointment tomorrow, the vaccine that's overdue, the heartworm test that's due. They go out by text, email or an AI voice call, they're written from the patient's record, and the replies come back to your inbox.
Appointment reminders
PupPilot sends appointment reminders by text and email, drawn from your schedule or from a list, and never two for the same visit. PupPilot AI suggests a default for when each one goes out, and you can always change it. To compare products, see the best veterinary appointment reminder software.
Confirmation requests
A confirmation request asks the client to reply and confirm the appointment. Their reply comes back to your inbox.
Care reminders from the record
Overdue vaccines and heartworm tests get a reminder written from the patient's record. Smart reminders go further: they use the patient's medical context, such as a medication refill that's coming due or a recheck for a chronic condition. Each client gets one message.
Follow-ups after the visit
PupPilot AI calls or texts the client after a surgery, a dental, a sick visit, a wellness or vaccine visit, or an adoption. You get follow-up calls after a visit or a procedure, paused or canceled whenever you want. The post-visit follow-up calls and texts page covers what it asks and what it flags to your team.
How a campaign is built
Every campaign comes down to four choices. There are campaigns to start from (post-op checks, post-adoption check-ins, care due), with your wording where you want it. The default timing and channel depend on the kind of message. PupPilot AI suggests one, and you can always change it.
- When it goes out: a date, or a rule from the schedule.
- What it says: a template your clinic can edit.
- How it reaches the client: text, AI voice call or email.
- Who receives it: clients from your practice-management system, or a list you upload.
Who gets what
Saved rules decide who gets each message, by appointment type, with audiences built straight from the schedule. A rule can cover every appointment except surgical drop-offs, for example.
Notices
When the clinic closes for weather, changes its hours or loses power, one message goes to your whole client list.
Your name on it
Emails carry your clinic's logo, colors and sender name. When a client replies, the reply is copied to your team and kept in PupPilot.
Replies and reschedules
Every reply lands in your inbox, including replies that arrive by email, read and attached to the right follow-up. When a client asks for a different time, PupPilot AI can reschedule by text and write the change to your practice-management system. On calls it books the same way; the veterinary scheduling software page shows how.
Opt-outs
Every email carries an unsubscribe link. When a client replies STOP to a text, PupPilot honors it automatically and logs it.
Questions clinics ask
Can reminders go out by both text and email?
Yes. Appointment reminders go out by text and email, drawn from your schedule or from a list, and never two for the same visit. For each campaign, you choose how it reaches the client: text, AI voice call or email.
Can we remind clients about overdue vaccines and heartworm tests?
Yes. PupPilot sends reminders for overdue vaccines and heartworm tests, written from the patient's record. Smart reminders use the patient's medical context too, such as a medication refill that's coming due or a recheck for a chronic condition.
Do reminders come from our clinic's number?
Yes, once your number is with PupPilot. Reminder texts go out from the number PupPilot runs for your clinic: your own number once it has moved, or a new one if you'd rather start there. Emails carry your clinic's logo, colors and sender name. The veterinary text messaging page covers texting on your number.
What happens when a client replies to a reminder?
The reply lands in your inbox. If the client wants a different time, PupPilot AI can reschedule by text and write the change to your practice-management system. Replies to emails are copied to your team and kept in PupPilot.
Can we change the wording and the timing?
Yes. Each campaign uses a template your clinic can edit, and it goes out on a date or by a rule from the schedule. PupPilot AI suggests a default timing and channel for each kind of message, and you can always change it.
Does it read due dates from our practice-management system?
Yes, or from a list you upload. Either works.
