Setup Note

Talkroute is a virtual system available in the US and Canada. Calls route to cell phones, office phones, or existing landlines β€” no special hardware required.

How Talkroute Works

Talkroute is a virtual phone system β€” it routes calls to existing phones (cell, landline, office phone, or softphone) without requiring special hardware. Call routing is managed through the Talkroute Dashboard at my.talkroute.com. Key concepts: Extensions (virtual routing destinations), Call Forwarding (to external numbers), and Hours of Operation (time-based routing).

Part A β€” Forward Your Public Number to PupPilot

Log in to Talkroute

Go to my.talkroute.com and sign in.

Set All Calls to Forward

Go to Manager and locate your main virtual phone number. Edit the routing to forward all calls to your PupPilot phone number for all hours (both business and after-hours).

Save and Test

Call your Talkroute number. PupPilot should answer immediately.

Part B β€” Set Up Your Internal Number

PupPilot needs a number to transfer callers back to your staff. Since Talkroute is a virtual system, use a secondary extension or a separate phone number (cell phone, office phone, landline, or VoIP line) for transfers.

Prevent Call Loops

The internal/transfer number must NOT forward to PupPilot on no-answer. Set the fallback to voicemail to prevent call loops.

Choose an Internal Number

You have two options: (A) Create a secondary Talkroute extension that forwards to staff cell phones, or (B) Use an existing separate phone number (cell phone, VoIP line, etc.).

Option A: Create a Secondary Extension

In Talkroute, go to Manager, scroll to Extensions, and click Add New Extension. Set it to forward to your staff's cell phones. Set no-answer to voicemail.

Option B: Use Existing Phone Number

If your staff already have a cell phone or separate line, use that number directly. Make sure it does NOT forward to PupPilot on no-answer.

Share the Number with PupPilot

Provide the extension number or separate phone number to your PupPilot contact for call transfers.

Test Transfers

Have PupPilot call the internal number. Staff phones should ring. If unanswered, should go to voicemail β€” not PupPilot.

Troubleshooting

IssueFix
Calls don't reach PupPilotCheck the call routing in Manager for your virtual phone number, and verify schedule settings at Settings β†’ Hours of Operation. Verify the PupPilot number is correct.
After-hours forwarding not activatingVerify the Hours of Operation schedule is configured correctly. Check that the timezone matches your clinic location.
No desk phones available for transfersTalkroute is a virtual system β€” no special hardware is required. Use staff cell phones, office phones, or a separate VoIP number for transfers.
Calls loop between PupPilot and your systemThe internal number is forwarding to PupPilot on no-answer. Change the fallback to voicemail.
